Office/Legal Assistant - Chicago, IL

Hagens Berman Sobol Shapiro is currently looking for a legal/office assistant for its office in downtown Chicago. Litigation in the Chicago office specifically focuses on complex class actions. This position would be responsible for supporting 6 attorneys and 1 paralegal with various legal assistant and administrative duties. 

Core Responsibilities:

Office Administration

  • Answer incoming calls, distribute mail, maintain public areas, order/stock office supplies, and coordinate equipment maintenance/repair
  • Support legal team with calendar management and updating matter list; setting up court reporters, court calls, and conference calls; making travel arrangements; and photocopying, scanning, and filing
  • Submit weekly time entry for Attorneys and transmit weekly bills to Seattle
  • Prepare monthly expense reports and credit card/petty cash reconciliations
  • Index and box closed case materials for storage
  • Maintain attorney/office passwords, login, and account information

Legal Assistant

  • Assist Paralegal with filing and service of documents
  • Draft basic correspondence and shell pleadings
  • Create hearing binders
  • Assist with factual research projects

Requirements and Qualifications:

  • Bachelor’s degree with 5+ years’ of relevant experience.
  • Knowledge of the rules regulating legal assistants.
  • Experience with Federal ECF efiling systems, and the ability to learn efiling systems in other jurisdictions.
  • Ability to work independently, organizes and prioritizes workload, and adapt to changing priorities.
  • Ability to follow written and verbal instructions
  • Ability to perform under tight deadlines and maintain patience in high pressure situations.
  • Expert knowledge of Microsoft Word required.  Experience working with Microsoft Office 2010 a plus.
  • Advanced knowledge of Microsoft Office (Outlook, PowerPoint, Excel) and Adobe.
  • Ability to work collaboratively in a team environment.
  • Excellent interpersonal, organizational, planning, verbal and written communication skills including spelling, grammar and proofreading skills.

Environmental Litigation Associate Attorney - Seattle, WA or Cambridge, MA

Hagens Berman Sobol Shapiro is looking for a Plaintiff side environmental litigation attorney to work out of our Seattle or Boston office. The successful candidate should have experience handling complex civil litigation and a demonstrated ability to communicate clearly and effectively. This position is focused on environmental law and the successful candidate should be highly motivated by environmental concerns. 

Core Responsibilities:

  • Investigate and vet potential new cases for technical and legal issues
  • Responsible for having a deep knowledge and understand all the facts in each case that is assigned
  • Ability to review, summarize, and highlight evidence gathered from documents
  • Research legal facts and regulations for new cases
  • Conduct all phases of civil discovery, including drafting written discovery, conducting meet and confers, and preparing for and conducting depositions
  • Draft briefs, memoranda, and other legal documents
  • Prepare for hearing, trial, and depositions
  • Help identify and work with experts
  • Identify, select and prepare expert witnesses

Requirements and Qualifications:

  • J.D. with 4-7 years’ litigation experience  
  • Highly accomplished academic and employment credentials (federal law clerk experience a plus)
  • Exceptional analytical skills with a high degree of accuracy and attention to detail
  • Superior writing, drafting and oral advocacy skills
  • Excellent interpersonal, organizational, planning, verbal and written communication skills

Litigation Paralegal

HBSS is currently seeking a litigation Paralegal for its office in Cambridge, Massachusetts.  HBSS’s Cambridge office focuses on pharmaceutical and medical device litigation, helping to lead the litigation fight nationwide for more affordable prescription drugs and for more responsible pharmaceutical and medical device industry practices.  HBSS typically represents consumers, for-profit and not-for-profit health insurers, consumer organizations, state attorneys general, and drug wholesalers and retailers.  HBSS focuses particularly on pharmaceutical price inflation, marketing fraud, drug and device products liability, and pharmaceutical industry antitrust.

Core Responsibilities:

  • Prepare pleadings and other legal documents, correspondence, and exhibits, format and proof.
  • Assist in the preparation of legal memoranda, cite-check, apply Blue Book rules, format and proof.
  • Gather facts, documents, and evidence to assist in the initiation of legal action or motion practice. 
  • Assist with discovery requests and responses; conduct document searches; organize documents and coordinate document productions, including bates-stamping, redaction, production logs, and e‑discovery.
  • Maintain and search databases.
  • Work with clients and class members to gather and convey information.
  • Prepare materials for oral arguments.
  • Prepare for trials; organize exhibits, witness materials, the trial notebook, and all other supporting documents; coordinate trial logistics.
  • Assist with appellate briefs and appendices, cite-check, apply Blue Book rules, format and proof.
  • Perform administrative functions such as assist in maintaining a paperless office by scanning and filing documents in document management system; perform word processing functions, perform filing, efiling, service and mailing of pleadings, documents, correspondence and courtesy copies, calendar deadlines.

Requirements and Qualifications:

  • Bachelor’s degree or paralegal certificate preferred with minimum 3+ years’ experience as a litigation paralegal.
  • Understands complex legal concepts and terminology.
  • Knowledge of the rules regulating paralegals/legal assistants.
  • In-depth knowledge of Federal court rules and procedures, and the skills to find and understand those in other jurisdictions.
  • Knowledge of Federal ECF efiling systems, and the ability to learn efiling systems in other jurisdictions.
  • Ability to perform legal research using LexisNexis or Westlaw.
  • Ability to draft pleadings and discovery.
  • Ability to work independently, organize and prioritize workload, and adapt to changing priorities.
  • Ability to follow written and verbal instructions
  • Ability to perform under tight deadlines and maintain patience in high pressure situations.
  • Strong working knowledge of advanced functions of Microsoft Office (including Word, Outlook and Excel) and Adobe Acrobat.

Receptionist/Office Assistant - Berkeley, CA

Hagens Berman Sobol Shapiro LLP is currently hiring a receptionist/office assistant for its Berkeley office. This position will be responsible for providing receptionist support and general administrative tasks. This position would report to the office administrator.

Core Responsibilities:

  • Responsible for the professional handling of incoming telephone calls on a multi-line phone system and directing callers to the appropriate person or department.
  • Cordial greeting of visitors and clients and direct them to the appropriate person.
  • Assure that the reception area, conference rooms, and kitchen area are kept neat and tidy at all times.
  • Keep kitchen supplies and beverages stocked.
  • Receive, sort and distribute mail and prepare and process outgoing packages and mail.
  • Help arrange travel and accommodations and prepare travel folders.
  • Submit monthly time entry for partner attorneys, assist in reimbursement reports, and transmit weekly bills to headquarters.
  • Keep inventory of stock and order office supplies.
  • Coordinate office repairs/maintenance, Ricoh service requests, and regular shred bin swaps.
  • Coordinate occasional electronics recycling.
  • Perform filing, faxing, scanning, copying, and data entry projects
  • Help update partners’ agendas.
  • Run errands.
  • Help coordinate meetings and depositions and prepare conference rooms.
  • Perform other clerical duties and assist with other projects as assigned.

Requirements and Qualifications:

  • Minimum 2 years’ experience as a receptionist or administrative assistant.
  • Polished professional in demeanor and presentation.
  • Exudes a positive presence.
  • Experience using multi-line phone system.
  • Experience using Salesforce a plus.
  • Strong customer service focus.
  • Refined phone etiquette and professionalism when interacting with callers.
  • Excellent verbal and written communication and interpersonal skills
  • Proficient in Microsoft Office including strong Outlook, Excel and MS Word skills.
  • Ability to deal with ambiguity and manage multiple tasks or projects at one time.
